
After School Learning Fun Hub Policy (2025–2026)
📝 Program Overview
ArtiSonata Studio’s After-School Program offers a safe, creative, and enriching environment for children aged 4 to 12. Students will explore Art, Chinese Language, and Music through structured group sessions, while also enjoying reading, board games, and quiet time. Transportation service from select elementary schools is included in the program fee.
🕐 Eligibility & Schedule
- Age Group: Children aged 4 to 12
- Days: Monday to Friday (excluding public holidays and PA Days)
- Hours: 3:00 PM to 6:00 PM
- School Year: September 2025 to June 2026
- Aligned with: York Region District School Board (YRDSB) Elementary calendar
- ArtiSonata Studio reserves the right to modify the program.
- Daily Routine:

🕐 School Pick-Up Consent & Parent Notification
- As part of our school pick-up service, parents are required to sign a consent form authorizing ArtiSonata Studio staff to pick up their child from school. This form must be completed and submitted at the time of registration.
- It is the parent’s responsibility to inform their child’s school and classroom teacher about their participation in ArtiSonata Studio’s After-School Program and to ensure the school is aware that our staff will be picking up their child on a regular basis.
📝 Fees & Payment
- The After-School Program runs for the full school year (September 2025 to June 2026), and fees are calculated as monthly payments.
- The first month’s fee (September) is due upon registration to secure your child’s spot.
- Subsequent monthly payments are due on the 15th of each month, covering the following month. (Example: October’s fee is due on September 15)
- Payment options include e-transfer and cheque.
- Late payment fee: $25 for payments not received by the due date
❌ Cancellation & Refund Policy
- If you withdraw before the school year begins, your September payment is refundable with 30 days’ written notice.
- In the event that public health restrictions (e.g. school closures) prevent in-person learning, the program may be temporarily suspended, and fees will be adjusted or credited accordingly.
📸 Registration & Withdrawal
- Mid-year enrollment is welcome where space is available. Priority will be given to families registering for 3 or more days per week.
- For mid-month enrollment, fees will be prorated based on the number of program days remaining that month.
- A minimum commitment of 3 days/week is required for regular enrollment.
- To withdraw, families must provide 30 days’ written notice via email.
- No refunds or credits will be issued for unused days once a monthly payment has been made, unless the program is suspended by ArtiSonata Studio.
🛡Illness, Missed Days & Make-Up Policy
- If your child is unable to attend, please notify us by email before 10:00 AM on the day.
- Children who show any signs of illness — such as fever, cough, vomiting, or diarrhea — should not attend the program. This practice helps prevent the spread of illness among children and staff.
- If your child becomes ill during the program, staff will contact you for immediate pick-up.
- Fees are not adjusted or refunded for missed days due to illness, vacation, or absence.
- Make-up days may be arranged within the same month only if space is available.
- No make-up or credit is offered for holidays or PA days.
- Program Exceptions: The After-School Program will not operate on school bus cancellation days, snow days, or any other school closure days beyond ArtiSonata Studio’s control, including emergency or inclement weather closures. No refund or make-up will be issued.
- If schools are open but buses are cancelled, and your child is not at school for pick-up, that day will be considered an absence and no refund or make-up will be issued.
🛡 Emergency, Medical, and Safety
- Parents must provide up-to-date medical and emergency contact information.
- Campers with serious allergies must provide a photo and supply an EpiPen (if applicable), which will be returned daily or weekly.
- All staff are trained in First Aid and CPR, and first aid kits are available on-site.
- In the event of a medical emergency during camp hours, ArtiSonata Studio staff are authorized to administer basic first aid and, if necessary, seek emergency medical treatment for the camper.
- If a parent or guardian cannot be reached, the camper may be transported to the nearest medical facility and treated by qualified medical professionals as needed.
- Parents and guardians are responsible for any medical expenses incurred. ArtiSonata Studio, its staff, instructors, and affiliates are not liable for any medical emergencies, injuries, or related incidents that may occur during the camper’s participation in camp activities.
🚫 Behavior Policy
- ArtiSonata Studio maintains a zero-tolerance policy for bullying, aggressive behavior, or repeated disruption.
- Children are expected to maintain safe, respectful, and positive behavior at all times. This includes showing kindness to others, respecting personal space and property, and following safety rules and staff instructions for all activities.
- Children must follow safety rules and show respect to peers and staff.
- Children who violate the code of conduct may be dismissed without refund.
🕐 Late Pick-Up Fee
- Late pick-up after the scheduled time will incur a $5 charge for every 10 minutes, starting at 6:00 PM.
- Repeated late pickups may result in dismissal from the program
🍱 Snack and Free Time
- This is a nut-free camp. All snacks must be nut-free.
- Please provide your child with their own nut-free snacks.
- Any food containing nuts will be removed and returned to the parent at the end of the day.
- All allergies and dietary restrictions related to medical, religious, or cultural reasons must be clearly indicated on the registration form at the time of enrollment. This information allows our staff to ensure a safe, inclusive, and well-prepared environment for all campers.
- Children are not allowed to use electronic devices during the program unless permission is granted by ArtiSonata Studio for a valid reason.
- Music or Art lessons may be arranged during this time, subject to teacher availability.
📸 Photo & Media Consent
- During registration, families will be asked to give consent for photos/videos of their child to be taken for marketing or documentation,promotional materials, and social media use by ArtiSonata Studio. These images may be used on the studio’s website, printed flyers, or social media platforms.
- No names or identifying information will be published without additional written consent.
🚗 Sign-In / Sign-Out
- A secure sign-in/out system is in place. Campers will only be released to authorized persons listed on the registration form.
- Photo ID is required at pick-up each day.
🎒Lost & Found
- All items should be labeled with the camper’s full name.
- Unclaimed items will be donated after the camp session ends.
- ArtiSonata is not responsible for lost items, including personal electronics, water bottles, etc.
